Cmsmart Cloud: Storage, Retention and Deletion Terms
What Cmsmart Cloud Stores
Cmsmart Cloud is managed storage for the files your store creates through the Cmsmart designer. When it is switched on, the following are held on Cmsmart Cloud and served to your customers over our content delivery network:
- AI results: images produced by background removal, upscaling and preflight.
- Customer uploads: artwork your customers upload while designing.
- Saved designs: designs your customers save to their account.
- Order files: the artwork attached to a placed order.
Cmsmart Cloud is optional. It is switched on from your store's Cmsmart plugin settings, and your store keeps working normally with it off.
Included Storage and Bandwidth
- With an active subscription: 10 GB of storage included. Storage beyond that is charged at 100 tokens per GB per month, deducted from your CMSmart token balance.
- Without a subscription: a 50 MB ceiling, never charged. New uploads stop once it is reached; reading your existing files and completing customer orders are never blocked.
- Bandwidth: twice your stored volume each month, and never less than 20 GB. Usage beyond that is charged at 50 tokens per GB.
Duplicate files are counted once. Running out of tokens or reaching your storage ceiling never prevents a customer from placing an order.
If Your Subscription Lapses
Your files are not deleted for non-payment. What changes is what you can add:
- Immediately: your storage becomes read-only. Existing files continue to be served to your customers exactly as before; new uploads are declined until you renew.
- After 30 days: your files move to long-term storage to keep costs down. Images that appear in a live design or storefront are replaced by a same-size placeholder rather than breaking the page. Nothing is deleted at this point.
You may renew at any time before the deletion dates below. Renewal restores your files automatically and at no charge. Retrieval from long-term storage takes up to 12 hours, and we email you when it completes.
How Long We Keep Your Files
Once storage has been read-only for the period below, the files are permanently deleted:
- Ordinary files — AI results, customer uploads and saved designs: kept for 6 months.
- Files attached to an order: kept for 24 months from the date of that order, regardless of your subscription status, so that order records remain available to you and your customer. Where a file belongs to more than one order, the most recent order date applies.
Deletion happens in two steps. A file is first marked for deletion and remains recoverable for 7 days; it is permanently removed after that. Contact support within those 7 days if a deletion was not intended.
Deleting Files Yourself
You may delete any file in your Cmsmart Cloud storage at any time, including while your subscription is active. Files attached to an order are the one exception: to protect your own order records, the dashboard will not delete them within the 24-month window above, and will show you the date on which self-service deletion becomes available.
That window is a default we apply in the product, not a refusal to act on a data request. If you want an order-linked file removed sooner, ask us through the process on our User Data Deletion page and we will handle it there. Nothing in these terms limits the rights described in that page or in our Privacy Policy.
Getting a Copy of Your Files
You can download everything in your Cmsmart Cloud storage as a single ZIP archive at any time, including while your storage is read-only, from the Storage page of your CMSmart dashboard. The archive includes a manifest listing which file belongs to which design or order. Download links are short-lived; request a fresh archive whenever you need one.
Notifications
We email the address on your CMSmart account when your storage becomes read-only, when your files are moved to long-term storage, and when a restore has completed. Keep that address current — these messages are how you learn that a deletion deadline is approaching.
Where Your Files Are Held
Files are stored on Amazon Web Services in the United States (region us-east-1) and delivered through Amazon CloudFront. They are encrypted at rest. Files are not readable directly from the storage bucket; they are served only through our content delivery network.
Changes to These Terms
We may change the allowances, pricing and retention periods described here. We will give notice of any change that shortens a retention period or increases a charge before it takes effect, and such a change will not apply retroactively to files already stored.
