In short

  • A company admin sets who can buy, how much each person or cost centre can spend, and which orders need a second pair of eyes — before any money moves.
  • Cmsmart B2B reads those rules at checkout: an order under every limit goes straight through; an order over a limit is placed, held, and routed to the named approvers with nothing charged.
  • It takes a role, a spend limit and an approval rule per company — set once in My Account, enforced on every order after that.

Employees at a franchise, a multi-office company or a marketing team often order branded goods and print on one shared account — until someone orders too much, or without sign-off. Cmsmart B2B runs a WooCommerce B2B order approval workflow with roles, spend limits, budgets and approval rules, so orders above the limit wait for a named approver, not charged or chased by email.

What does it cost you when B2B orders go out without approval?

Cmsmart B2B stops unapproved spend before it is charged: every order is checked against the buyer's role, their personal spend limit and the company's budgets at checkout, so an order over the agreed amount waits for a named approver instead of going straight to production.

A company account without approval controls runs on trust and email:

  • Off-budget orders. A branch manager reorders merchandise at twice the agreed quantity because nothing in the store stopped them.
  • Chasing sign-off by email. A buyer places an order, then someone has to notice it, confirm it was expected, and reply before production starts.
  • No single source of truth. Finance finds out what was spent at month-end, not when the order was placed.
  • Former staff still ordering. Someone leaves a role and keeps buying on the company account because deactivating them feels like it would erase their history.
  • One-size limit for every job. A routine small reorder and a large rebrand job go through the same single approval rule, with no room for cost centres or per-person limits.

Put a number on it: (over-limit orders per month) × (hours your team spends chasing each one) × (your team's hourly cost) = the monthly cost of manual approval. A handful of orders chased by email instead of routed automatically becomes a real line item, with no reprint or discount involved.

What would WooCommerce B2B ordering look like with approval built in?

With Cmsmart B2B, a buyer places an order the same way they always have; the store itself decides, at checkout, whether that order needs a second person before it moves to production — and tells the buyer exactly who and why.

Example scenario. A buyer on a company account adds branded notebooks to the cart. A banner appears: this order needs approval from two named people because it is over the company's agreed limit, next to budget meters for the company, the buyer and their cost centre. They pay by purchase order on the company's agreed net terms and place the order anyway. Nothing is charged. It lands as "Waiting for approval," both approvers are notified the same day, and one opens a queue that already shows why the order needs a decision and what it will do to the budget — then approves it from their phone. The order moves to production with an audit trail: who asked, who approved, and when.

The cart tells the buyer, before checkout, who has to approve the order and why — plus how much of the company, personal and cost-centre budget is left.

How does Cmsmart run a WooCommerce B2B order approval workflow?

Cmsmart B2B puts four pieces to work together: roles with plain-language permissions, a spend limit per person, a budget per company/person/cost centre, and an approval rule that decides which orders need a decision — all set by the company admin in My Account, all enforced automatically at checkout.

Four building blocks make up the workflow:

Cmsmart B2B Team page listing company members with Admin, Buyer, Approver, Designer and Viewer roles
Team: the company admin sees every member, their role and the seats left on the account.
  • Roles. Admin, Buyer, Approver, Designer and Viewer each come with a plain-language description, so the admin doesn't have to guess what a "Buyer" can and can't do.
  • Spend limits. Per person, with a monthly, quarterly or yearly reset, and a choice of what happens when someone goes over it: block the order, require approval, or just warn.

The same drawer sets a member's role and their personal spend limit in one place.
  • Budgets. A company-wide budget, a personal budget per member, and budgets per cost centre (a department, a location, a project) all tracked against what has actually been spent this period.
  • Approval rules. A company-wide rule — no approval needed, approval above a limit, or approval for every order — plus a separate rule for brand templates, so a new logo or template can need sign-off too.

Budgets track spend by company, by person and by cost centre, each with its own reset date and action.
Cmsmart B2B Approval rules page setting an approval limit in dollars for company orders
Approval rules set the dollar limit above which an order needs a decision — admins and approvers are never held back by their own rule.

At checkout, a buyer paying on a WooCommerce order sees their company's purchase order / net terms option, with the credit limit, outstanding balance and available credit shown before they place the order:

Once the order is placed over the limit, it goes to the named approvers' queue with the reason and the budget impact already worked out for them:

The approver sees why the order needs a decision and exactly what approving it will do to each budget, before they click Approve.

Cmsmart insight: set the company approval limit close to your typical repeat-order size, not far above it. A limit that is too high lets the exact orders you wanted to catch go straight through; a limit that is too low sends every routine reorder to an approver and trains people to stop checking the queue carefully.

What's the ROI of order approval and budgets for your B2B channel?

Order approval and budgets turn two hidden costs — off-budget spend and manual approval chasing — into numbers you can track every month, because Cmsmart B2B logs every decision, every budget and every order against the person and cost centre that made it.

BenefitHow it shows up in your businessKPI to track
Spend stays inside budgetOrders over a cost centre's budget are blocked, held or flagged before they are chargedOff-budget spend per period, per cost centre
Faster sign-offApprovers see the reason and budget impact in the queue instead of a plain emailAverage time from order placed to approved
Less manual chasingApprovers are notified automatically; nobody has to forward an emailOrders waiting 2+ days in the approval queue
Clean handoversDeactivating a member keeps their order history instead of deleting the accountShared logins still in use (target: zero)

ROI worksheet (use your own numbers):

  • (orders per month that would have gone out off-budget) × (average order value) = spend exposure avoided by budgets
  • (approvals handled by email today) × (minutes your approvers spend per approval) × (your team's hourly cost) = time saved by routing approvals automatically
  • (orders stuck 2+ days waiting) ÷ (total orders needing approval) = your current approval backlog rate — a number worth tracking before and after you turn on rules

According to Digital Commerce 360, 73% of B2B buyers are now willing to spend over $50,000 per order online, up from 59% two years earlier — as self-service order values climb, a store without spend limits and approval rules is exposed to larger off-budget orders, not just more of them.

How do you set up spend limits, budgets and approval rules in Cmsmart B2B?

A company admin sets roles and spend limits per member, builds budgets for the company and its cost centres, and sets the company's approval rule — all from My Account, in the order below, usually in under half an hour once the cost centres are agreed internally.

This covers the company-admin side, inside an existing Cmsmart B2B store; start there first if the store isn't set up yet.

  1. Open My Account → Team and check the seats and pending invitations counter before inviting anyone new.
  2. For each member, open the "…" menu and choose Edit role and limits.
  3. Pick a role — Admin, Buyer, Approver, Designer or Viewer — using the plain-language description under each one.
  4. Set a personal spend limit (amount and period) and choose what happens when the member goes over it: block the order, require approval, or warn only.
  5. Either leave the member on the company approval rule, or set a personal approval amount that replaces it for that person.
  6. Click Save member, then repeat for anyone who needs a different role or limit.
  7. Open My Account → Budgets and click Set a budget to create the company budget, plus one per cost centre (a location, a department, a project).
  8. For each budget, set the period (monthly, quarterly, yearly) and the action for orders that go over it: require approval, block the order, or warn only.
  9. Open My Account → Approval rules and choose whether orders need no approval, approval above a limit, or approval for every order — then set the dollar limit.
  10. Set the brand templates rule separately if new logos or templates should also need sign-off before they are used.

When someone changes role or leaves, hand over admin in one click or deactivate — deactivating keeps their order history instead of deleting it.

On the store side, Settings → Cmsmart B2B gives you the same Inbox the approvers and admins use day to day, including a view-only Approvals tab for monitoring without acting:

Can Cmsmart build custom approval chains on top of Cmsmart B2B?

Cmsmart B2B ships one company-wide approval limit plus a personal override per member today; multi-step approval chains, ERP-synced budgets and ordering rules tied to your purchasing system are custom development that Cmsmart builds on top of it for your store.

The built-in rule — "orders above this amount need an approver" — covers most companies well. A few requests come up often enough to name as what they are: custom development, scoped and quoted for your store, not features to expect out of the box:

  • Multi-step approval chains. Manager, then finance, then a director, in sequence, with each step logged.
  • ERP or MIS-synced budgets. Live budget balances from your finance system, not just WooCommerce.
  • Custom approval triggers. Routing by product category, shipping destination, or a company attribute beyond a dollar amount.
  • Automated reminders and escalation. Nudging an approver after a set number of days, then escalating to a backup.
  • Single sign-on for company accounts. A company's own identity provider manages who logs in as Admin, Buyer or Approver.

Cmsmart's delivery approach is the same for all of it: discovery on how your process works today, a solution design you sign off on, build sprints, QA against your order volume, launch and support — the same model behind Cmsmart's custom ecommerce projects.

Frequently asked questions

Can more than one person approve the same order?

Yes. A company's approval rule can name several approvers; any one of them can approve or decline, and the order's "Why it needs a decision" card lists everyone who is allowed to act on it.

What happens to an order that goes over a person's spend limit or the company budget?

It depends on the action you set: block the order, hold it for approval, or let it through with a warning. Cancelled orders and refunds give the spent amount back to the budget.

Can a company pay by purchase order and net terms instead of a card?

Yes. At checkout, a company account can use Purchase order / Net terms, showing the agreed credit limit, outstanding balance and available credit, plus a required PO number and the invoice due date once approved.

Can an approver act from their phone?

Yes. The approval queue is a normal page in My Account, so an approver can read why an order needs a decision and the budget impact, then approve or decline it from a phone browser — no separate app.

Does deactivating a team member delete their order history?

No. "Deactivate (keeps history)" removes their access while keeping every past order on the account, so reporting and reorders still work. Admin can also be handed over to another member in one click.
