Applies to Cmsmart Product Designer (NBDesigner) 2.17.0 · Updated October 2026. Covers Cmsmart > Settings > Request Quote, the Request Quote tab on a WooCommerce product, Cmsmart > Custom quotes (Form builder and Requests) and converting an accepted quote into a WooCommerce order.

In short

  • Outcome: large, custom or out-of-catalogue print jobs get a proper quote request instead of a guessed price, so you stop losing bulk buyers to a contact form and a week of email.
  • How it works: Cmsmart Product Designer swaps the price and Add to cart button for a Get a quote button on the products you choose, collects the job details through a form you build in wp-admin, and turns an accepted quote into a standard WooCommerce order.
  • What it takes: Cmsmart > Settings > Request Quote, the per-product Request Quote tab, and the Form Builder and Requests screens inside Cmsmart Product Designer for WooCommerce — no extra plugin.

A buyer who wants a bulk run of gang-sheet transfers or a custom banner job won't add a guessed price to their cart, and your product page can't show one either. A custom quote form print orders WooCommerce buyers fill in on that same page lets them describe the job, lets your team price it properly, and lets the accepted quote become a real order without retyping a thing.

Why does quoting large print orders by hand cost you sales?

Cmsmart Product Designer replaces the guesswork of email-based quoting with a built-in Request a Quote button, a form you control, and a Custom quotes dashboard, so a large or bespoke print order gets priced and tracked inside the same WooCommerce admin you already use.

  • No price fits the job. A 500-unit custom-size box, a mixed-artwork gang sheet, or a banner cut to exact dimensions doesn't sit on a standard price matrix — someone has to look at the specs and quote it.
  • The request is a scattered email or phone call. Specs, artwork and delivery dates land in an inbox, with nothing connecting the conversation back to a product or buyer account.
  • Nobody owns the follow-up. A quote sits until someone remembers it, and print shop owners report it typically takes 2 to 4 days to send a quote back.
  • Re-keying the accepted price. Once a price is agreed by email, staff still build the order by hand, copying specs and prices across again.
  • The opportunity is real money. The U.S. custom printing market alone was valued at $6.10 billion in 2023, growing at a 10.5% CAGR through 2030 — mostly bespoke, non-catalogue orders a fixed price page can't sell.

Cmsmart insight: the two settings that hide the price and hide the Add to cart button are separate switches that both say "for all products which enable Get quote" — turn on only one and a quote-only product still shows a price next to a Get a quote button, which reads as a bug to a first-time buyer.

What would it look like if every bulk print buyer got an instant, trackable quote?

With Cmsmart Product Designer, a buyer fills in a short form on the product page or at checkout, your team sees the request land on a live Quote Requests dashboard with its estimated value, and answering it is a status change away from becoming a paid, production-ready WooCommerce order.

Instead of an email thread, the buyer sees a Get a quote button where the price would be, answers the fields your team needs — quantity, finish, artwork, deadline — and gets a confirmation. Your team opens Cmsmart > Custom quotes the next morning, sees what's new and what it's worth, prices the job, and sends the quote back. The buyer accepts and pays it like any other WooCommerce order, design and print options attached.

Example scenario: a regional print shop gets a Friday-evening request for a large banner run through its Get a quote button. On Monday, the Pending value card shows it's still awaiting a decision; a staff member checks the artwork notes, emails back a price from the quote screen, and the buyer accepts and pays from My Account on Tuesday — one thread, one record, no re-keyed order.

How does Cmsmart turn a quote request into an order-ready workflow?

Cmsmart Product Designer connects four pieces already in your WooCommerce admin: the product's Request Quote toggle, the Form Builder that defines what you ask, the Custom quotes dashboard that tracks every request, and WooCommerce's own order flow that an accepted quote feeds into.

  • Storefront button. A product with Request Quote enabled shows Get a quote in place of the price and Add to cart — set per product in the Request Quote tab inside NBD options.
  • Form builder. Cmsmart > Custom quotes > Form builder lets you add fields, then set each one's type, label, placeholder, validation rule and required state — a banner shop can ask for finish, a packaging shop for box style and case count.
  • Requests dashboard. Cmsmart > Custom quotes > Requests lists every quote with its status, estimated value and last update, with counters for new, in review and accepted requests.
  • Order conversion. An accepted quote becomes a standard WooCommerce order the buyer pays from My Account — the same order screen your team already uses.

What's the business value of a faster quote-to-order workflow?

Cmsmart Product Designer turns quote handling into a measurable part of your sales process — every request has a status and an estimated value on the Requests dashboard, so slow answers, lost requests and re-keying errors become KPIs you can actually track and fix.

BenefitHow it shows up in your businessKPI to track
Fewer missed bulk ordersEvery request is logged with a status instead of living in an inboxNew requests left unreviewed after 24–48 hours
Faster answers win more jobs70% of B2B buyers now say they prefer a fully digital, self-service buying experience, so a same-day quote keeps them on your site instead of a competitor'sAverage time from "new request" to quote sent
Less admin time per orderNo re-keying specs or prices once a quote is acceptedMinutes of staff time per converted quote
Clean pipeline visibilityPending value shows the dollar total still awaiting a decisionPending value as a share of monthly revenue

Rough-cut ROI worksheet: (quotes per month) × (hours saved per quote vs. email) × (loaded staff hourly cost) = admin time recovered. Add (quotes per month) × (reply delay in days) × (estimated buyers lost per extra day) × (average order value) to see what a same-day reply is worth in orders, not just hours.

How do you set up a custom quote form print orders woocommerce workflow?

Setting up Cmsmart Product Designer's quote workflow means configuring Settings > Request Quote, building your fields in the Form Builder, turning the feature on for the products that need it, then working requests from the Custom quotes dashboard through to a paid order.

Start from the installation and setup guide if Cmsmart Product Designer isn't configured yet, then follow these three stages.

Stage 1 — Build the quote form

  1. Go to WP Admin > Cmsmart > Settings > Request Quote. Under General, decide Hide "Add to cart" button and Hide the price in product detail page — both apply only to products with Get quote enabled, so turn them on together for a clean quote-only page.
  2. Still under General, set Allow "Request a quote" even if the product out of stock and Show button request quote in checkout page — the checkout button lets a buyer send their whole cart as one quote.
  3. Open the Form section to turn on Enable registration on the Request a Quote page if you want every requester to have an account, and configure reCAPTCHA if spam is a concern (default: as installed).
  4. Open Cmsmart > Custom quotes > Form builder, type a field name under Add new field and click Add field, then set its Type, Label, Placeholder, Validation rule and Required state — quantity, substrate, finishing, artwork link, deadline — and click Save changes.

Stage 2 — Turn it on per product, then receive and answer quotes

  1. Open the product that needs quoting in WooCommerce > Products > Edit, find the NBD options box, and open its Request Quote tab to enable quoting for that product (the same tab list also holds Printing Option, for standard-size price matrix pricing).
  2. Watch Cmsmart > Custom quotes > Requests for new submissions: the dashboard shows New requests, In review, Pending value and quotes Accepted in the last 30 days, so a busy desk can tell at a glance what still needs a reply.
  3. Open a request, review the fields the buyer filled in against the product's print options, and send a price; the status moves from New to In review to Accepted or Declined as you work it.

Stage 3 — Convert the accepted quote into an order

  1. Once a price is agreed, mark the quote Accepted so the buyer can pay it from their My Account > Quotes page — no new product page, cart or re-entered specs.
  2. The paid quote becomes a standard WooCommerce order with the quoted price, print options and any attached design intact, so it shows up in Cmsmart > Orders like any other sale, with the print-ready PDF that matches the order.
  3. Track the order through production the same way you already do, using the order's status, Create PDF and design screens covered in the print pricing option setup guide if the job also carries standard printing options.

If your pricing already leans on a price matrix for standard sizes, the price matrix tutorial covers the formula side that a quote form is built to complement, not replace.

What can Cmsmart build on top of the standard quote form?

Beyond the built-in Request a Quote button and form builder, Cmsmart builds custom development for stores whose quoting needs outgrow a single admin queue — approval chains, ERP-synced pricing and sales-rep routing among them — scoped and delivered as a project, not a plugin setting.

  • Multi-step approval chains. Cmsmart builds routing so a large quote goes to a sales lead or manager for sign-off, with comments kept on the record.
  • ERP or MIS price sync. For shops whose real costing lives in an MIS, Cmsmart builds an integration that pulls live cost and capacity data into the quote.
  • Sales-rep assignment and territory routing. Cmsmart builds rules that assign incoming quotes to the right rep by product, region or account.
  • Volume and customer-tier pricing. Cmsmart builds logic that pre-fills a suggested price from the buyer's order history or account tier.

Every build follows the same delivery path: discovery call, solution design, sprints, QA, launch and ongoing support — see how that looks on real Cmsmart ecommerce projects.

Frequently asked questions about WooCommerce quote forms for print orders

Does a custom quote form replace Cmsmart's price matrix and printing options?

No. A price matrix prices jobs a formula can express — standard sizes, papers, quantities. Request a Quote covers jobs that don't fit a formula, like a custom-size run or a one-off finish, and the two run side by side on different products.

Can we hide the price and Add to cart button only on quote products?

Yes. Cmsmart > Settings > Request Quote > General has separate "Hide Add to cart button" and "Hide the price in product detail page" switches, both scoped to products with Get quote enabled.

How does an accepted quote become a paid order?

Once your team marks a quote Accepted, the buyer pays it from My Account like a standard WooCommerce order, with the quoted price, print options and any attached design carried over.

Can a buyer request a quote for their whole cart instead of one product?

Yes, if "Show button request quote in checkout page" is turned on in Settings > Request Quote > General. The buyer sends everything in their cart as one combined quote instead of checking out.

What if we need approval chains or ERP-synced pricing for quotes?

That's custom development: Cmsmart builds approval routing, ERP or MIS price sync and sales-rep assignment on top of the standard quote form for stores whose volume outgrows a single shared queue.
