Applies to Cmsmart Product Designer (NBDesigner) 2.17.0 · Updated October 2026. Covers automatic print-ready PDF export, syncing output files to FTP/SFTP/Dropbox/Amazon S3/Google Cloud Storage, and managing print options and price rules per product.

In short

  • Every paid order gets a print-ready PDF that matches what the customer approved, delivered wherever your production team already looks for files.
  • Cmsmart Product Designer renders the file in the cloud when an order reaches the status you choose, then can push a copy to FTP, SFTP, Dropbox, Amazon S3, or Google Cloud Storage.
  • Setup is about 15 minutes in WooCommerce → Settings → Cmsmart → Output, plus a few print options scoped to the right products.

What does manual print-file handling actually cost your shop?

Cmsmart Product Designer removes the manual hand-off: once an order reaches the status you pick, it renders a print-ready PDF in the background and can drop a copy straight into your FTP, Dropbox, or Amazon S3 folder, so production never waits on someone remembering to export a file by hand.

Before you automate anything, it helps to see where the manual version of this work actually goes wrong:

  • Someone has to notice the order, open the design, and export a PDF by hand before the press can start on it.
  • A design edited after the customer approves it can quietly leave production working from a stale file — unless something locks it.
  • Finished files pile up on one computer instead of the shared drive, Dropbox, or S3 bucket your production team actually opens first.
  • Until 2.17, a buyer's custom width and height could render against the product template's default size instead of their own, so the automatic file and the file from Create PDF did not always match.
  • Print options and price rules scattered across dozens of products are hard to audit once a catalog grows past a handful of SKUs.

Cmsmart insight: the most common support request we see around PDF automation is not the renderer — it is a destination credential (an FTP host, an S3 key) that was saved once and never tested again after a password rotated. Click Test connect every time you touch a sync destination, not just the first time you set it up.

What would it look like if every print file was already waiting for you?

With Cmsmart Product Designer's automatic export, a shop can let an order move into Processing at 11pm and still find a print-ready PDF already sitting in Dropbox or Amazon S3 by the time production opens the next morning — nobody has to touch that order to make it happen.

Example scenario: A print shop sets auto-export to trigger on Processing and points automatic synchronize at an Amazon S3 bucket. A buyer orders a custom business card at 9pm. By the time the prepress team logs in the next morning, the print-ready PDF is already sitting in the bucket folder they open first — nobody in the shop touched that order overnight.

If that overnight queue sounds like what your production floor needs, talk to an ecommerce expert about wiring it to the rest of your systems.

How does Cmsmart automate PDF export and print-file delivery?

Cmsmart Product Designer, the WooCommerce online product designer plugin, pairs a cloud renderer with an approval lock and a choice of sync destinations, so the file that reaches production is the same one the customer approved — without a manual export step in between.

Five pieces do the work, and it matters which ones ship in the plugin today versus what we build per store:

  • Printing options & price rules (in the plugin) — each option is scoped to specific products or categories, with a priority order when more than one could apply.
  • Approval & the approved-artwork lock (in the plugin, 2.17) — once an order item is approved in the Customer Design box, saving over that design is refused on the server, whichever link or open tab the save comes from.
  • Print-ready rendering (in the plugin) — Cmsmart Cloud renders by default with a local server fallback, and Create PDF now uses the same renderer and render certificate as the automatic export, so the two never disagree on a custom-size product.
  • Sync & delivery (in the plugin) — FTP, SFTP, Dropbox, Amazon S3, or Google Cloud Storage, or a mirrored copy in each design's own pdfs folder for code that already reads it.
  • Order visibility (in the plugin) — the Orders dashboard and each order's timeline show production status and a one-click print PDF download.
  • Production-system hand-off (custom development) — pushing a synced file straight into an ERP, MIS, or print-queue system instead of a folder is something Cmsmart's web-to-print team builds per shop.

What's the ROI of automating your print files and print options?

Cmsmart Product Designer turns a per-order manual export into a background job, so the minutes a shop currently spends finding, exporting, and uploading each file become minutes a KPI dashboard can actually track and reduce.

BenefitHow it shows up in your businessKPI to track
Fewer manual exportsStaff stop opening every order just to make a PDFMinutes of manual file prep per order
Fewer mismatched-file reprintsCreate PDF and the automatic export always agreeReprint rate attributed to "wrong file" causes
Faster hand-off to productionThe file is already in the folder your press team opensTime from "order paid" to "file in production folder"
Safer approvalsA design can't be quietly re-edited after sign-offOrders shipped from stale or unapproved artwork

Rough ROI worksheet: (orders per month) × (minutes your team spends manually exporting, renaming, and uploading each print file) ÷ 60 = hours of staff time an automated export-and-sync step removes every month. For context on the manual side of that formula: shops keying in orders by hand spend an average of 10 minutes per order on entry alone, which adds up to roughly 200 hours a month at 1,200 orders — a good proxy for how quickly small per-order tasks become a real staffing cost (Chipply, 2026). File export and upload rarely takes as long as full order entry, but the same multiplication applies: put in your own orders-per-month and minutes-per-file to see what automating this one step is worth to your shop.

With roughly a third of tracked ecommerce sites running on WooCommerce (StoreLeads, August 2025), print file automation like this is relevant to a large and growing share of online print and personalization businesses — not just a niche workflow.

How do you set up automatic print-ready PDF export for WooCommerce?

Cmsmart Product Designer's automatic export and sync settings live under WooCommerce → Settings → Cmsmart → Output, and print options are scoped to products or categories from their own screen — both verified against the current 2.17.0 admin.

Automate the print-ready PDF:

  1. Go to WooCommerce → Settings → Cmsmart → Output.
  2. Under "Synchronize", set "Auto export design to PDF" to Yes.
  3. Pick the "Order status for auto export design" that matches your workflow — Completed, Processing, or On Hold.
  4. Turn on Also save print-ready PDFs in the pdfs folder only if another plugin or your own code reads that folder.
  5. Set "Automatic synchronize output file to" — FTP, SFTP, Dropbox, Amazon S3, or Google Cloud Storage — fill in that destination's credentials, and click Test connect before you save. (Setting up the destination itself, such as creating an Amazon S3 bucket, happens on the provider's side first.)

Output → Synchronize: the auto-export trigger, the pdfs-folder mirror, and the FTP/SFTP/Dropbox/S3/GCS destination picker.

Configure print options and verify a file:

  1. Open Printing Options and add a new option, scoped to the products or categories it should apply to, with a priority if more than one option can match the same product.
  2. On the product page, use the "Configure designer & print options" quick action to set bleed, print resolution, and color profile for that product's print file.
  3. On an order, open the design and use Create PDF, or wait for the automatic export — the order screen shows "Print-ready PDF: Ready" plus the time the cloud renderer finished.
  4. Download the finished art in whatever format your press needs — SVG, PNG, a CMYK JPG with an ICC profile, or the print-ready PDF itself — from the Download design tab.

Going further: what can Cmsmart build on top of the standard print options?

Cmsmart builds the custom layer most shops eventually need: routing a synced file into a production system, pricing logic that depends on more than one attribute at once, or multi-destination delivery — work the standard plugin doesn't do out of the box.

  • ERP / MIS / print-queue integration — instead of landing in a folder, a synced file can be pushed straight into your production or MIS system as a new job, with status flowing back to the order.
  • Multi-destination sync — the standard "Automatic synchronize output file to" setting sends to one destination at a time; Cmsmart can fan a render out to a folder, an S3 bucket, and a Slack or email alert in the same step.
  • Multi-attribute pricing logic — print options here are scoped per product or category; when pricing needs to combine several attributes or sub-attributes at once, that rules engine is custom work built on top of our web-to-print pricing engine service.
  • Reprint and SLA dashboards — turning the KPIs in the table above into a live dashboard tied to your customer segments, rather than reading them off the Orders screen order by order.
  • AI preflight at scale — batching Cmsmart Cloud's AI preflight checks across an entire order queue before a production run, instead of per design.

Our delivery approach is the same for all of it: discovery, solution design, build in sprints, QA against your real catalog, launch, and ongoing support — see examples in our ecommerce project case studies.

Why work with Cmsmart on your print automation?

Cmsmart has been building web-to-print and product-designer software as a Netbase JSC division since 2012, with a plugin that ships new print-production features every release and a team that builds the custom pieces around it.

"We have had the NB Designer plugin installed for three years and have experienced absolutely no problems during that time. It is wonderful to see their commitment to continuous development, with new features being added frequently to keep the software current and highly capable." — Web Developer, Trustpilot review

Frequently asked questions

Does the PDF export really happen automatically, or do I still have to click a button?

With "Auto export design to PDF" set to Yes, the render starts in the background as soon as the customer clicks Process, and again if the order reaches your chosen status and the file is missing or out of date. You can still open Create PDF and generate the same file by hand at any time.

Can print files go straight to Dropbox, Amazon S3, or our own FTP server automatically?

Yes. The "Automatic synchronize output file to" setting under Output → Synchronize supports FTP, SFTP, Dropbox, Amazon S3, and Google Cloud Storage, each with its own credential fields and a Test connect button.

Will the automatic PDF match the file I get from clicking Create PDF myself?

Yes, as of 2.17.0. The cloud renderer, the server renderer, the preview, and Create PDF's default settings now all read the same page geometry, including a buyer's custom width and height, so the two no longer disagree on custom-size products.

What happens if a customer or staff member edits a design after it's approved?

Saving over an approved order item's design is refused on the server, whatever link or open editor tab the save comes from. Editing the design intentionally (after reopening it through a supported flow) queues a fresh print file and flags the order as changed.

How do print options apply to only some products?

Each printing option is scoped to specific products or categories on the Printing Options screen, with a priority value for when more than one option could match the same product.

Can Cmsmart connect this to our ERP or print-management system instead of just a folder?

The plugin's own sync reaches FTP, SFTP, Dropbox, Amazon S3, or Google Cloud Storage. Pushing a rendered file into an ERP, MIS, or print-queue system as a tracked job is custom development Cmsmart builds per store.
